Job Summary/Purpose

The Patient Access Registration Clerk is responsible for the accurate and timely registration of patients presenting to the Emergency Department. This includes gathering demographic and insurance information, obtaining required authorizations and signatures, verifying benefits, and collecting co-payments or other applicable financial responsibilities. The Registration Clerk serves as the first point of contact for patients and must provide exceptional customer service while functioning efficiently in a fast-paced, high-stress environment.


Essential Duties and Responsibilities:

  • Greet and register patients in the Emergency Department promptly and professionally.
  • Accurately obtain and enter demographic, insurance, and guarantor information into the electronic health record (EHR) system.
  • Verify insurance eligibility and benefits at the time of registration.
  • Obtain required signatures for consent to treat, HIPAA forms, and financial responsibility acknowledgments.
  • Collect co-payments and provide receipts as necessary.
  • Communicate effectively with patients, clinical staff, and physicians to ensure seamless patient intake and flow.
  • Identify and alert clinical staff of critical or urgent patients immediately upon arrival.
  • Provide financial counseling or refer patients to appropriate financial assistance resources.
  • Scan and upload identification, insurance cards, and other documentation as required.
  • Maintain confidentiality in accordance with HIPAA and hospital policy.
  • Participate in shift handoffs, department meetings, and ongoing training sessions.
  • Perform other clerical duties as assigned, including answering phones, filing, and maintaining accurate records.


Required Qualifications:

  • Education: High school diploma or equivalent required.
  • Experience: Minimum of 1 year in a healthcare registration, customer service, or clerical role preferred; ED or hospital-based experience is strongly preferred.
  • Skills:
    • Proficiency in data entry and use of EHR systems.
    • Strong interpersonal and communication skills.
    • Ability to work independently and prioritize in a fast-paced environment.
    • Demonstrated attention to detail and accuracy.
    • Ability to maintain professionalism under pressure.

Preferred Qualifications:

  • Knowledge of medical terminology and health insurance processes.
  • Bilingual (Spanish/English or other language) is a plus.
