The Executive Administrative Assistant, for The Vice President for Diversity and Inclusion, provides high-level administrative support to the Vice President for Diversity and Inclusion. This role requires exceptional organizational skills, professionalism, and the ability to manage confidential information. The ideal candidate will be proactive, detail-oriented, and capable of working independently in a fast-paced environment. This person will play a pivotal role in ensuring the smooth operation of the Office for Diversity and Inclusion and contribute to the overall effectiveness of campus wide Diversity and Inclusion initiatives.
Essential Job Function
  • Demonstrate a commitment to fostering an inclusive culture that values and supports individuals from diverse backgrounds, including ability, age, class, ethnicity, faith background, gender expression, gender identity, geographic region, national origin, neurodiversity, race, and sexual orientation, recognizing the importance of individual and group identities.
  • Manage and maintain the Vice President for Diversity and Inclusion’s calendar, coordinating meetings, appointments, and travel arrangements and reimbursements efficiently.
  • Perform administrative duties, including greeting and assisting visitors, answering phone calls, and managing email correspondence in a professional manner.
  • Prepare, edit, and distribute a variety of documents, including correspondence, reports, presentations, and other materials, ensuring accuracy and professionalism.
  • Act as the primary point of contact for internal and external communications, providing timely responses and effective follow-up to inquiries.
  • Coordinate and organize events, meetings, and workshops related to Diversity and Inclusion initiatives, managing logistics, catering, and materials preparation in collaboration with all staff in the Office for Diversity and Inclusion.
  • Compile and organize data to support strategic initiatives and special projects.
  • Lead budget preparation and monitoring, including tracking expenses and preparing financial reports to ensure accurate financial management.
  • Develop and maintain both physical and digital filing systems, ensuring the secure and organized storage of sensitive information.
  • Collaborate with other administrative staff and departments to streamline processes and enhance communication across the organization.
  • Serve as the primary support staff for the Office of Diversity and Inclusion, providing comprehensive administrative support.
  • Handle administrative tasks such as proofreading, typing, and using Microsoft Office Suite; digitize office files and correspondence; build and maintain Excel spreadsheets; and utilize paperless systems and cloud environments for efficient information management.
  • Manage office supplies and serve as the contact person for coordinating the use of spaces in the building, ensuring a well-organized and resourceful office environment.
  • Maintain confidentiality and exercise discretion in handling sensitive and confidential information, ensuring privacy and security.
Other Duties
  • Contribute to the overall success of the Office of Diversity and Inclusion by performing all other essential duties and responsibilities as assigned.
 
Requirements
Education: 
  • High school diploma required. (Related) Advanced degree desirable.
Work Experience: 
  • Prior experience in an administrative role is required.
  • Experience working in diverse and inclusive environments.
Technical Skill: 
  • Proficient knowledge of Microsoft Office Suite.
  • Preferred knowledge of Canva and to design programs
Organizational Skills:
  • Exemplary planning and time management skills.
  • Ability to accommodate multiple projects from various sources.
Communication Skills: 
  • Excellent verbal and written communication skills.
Physical Requirements 
  • Limited pushing, pulling, lifting.  Lifting would not exceed 20lbs.
  • Mobility on campus necessary.
