Job Skills / Requirements

Top Guard is accepting applications for a Compliance Assistant.  This position is responsible for helping ensure that the company is in and stays in compliance with all regulatory guidelines set forth by DCJS and our clients.

Essential Functions and Responsibilities:

  • Manage TG Guard regulatory guidelines set forth by DCJS and our Clients.
  • Manage all aspects of reviewing and saving all new hires employment packets and their DCJS packets, to include setting up their account on the DCJS website, getting their applications for a security license and fingerprints completed during processing, completing all paperwork needed for their employee file, and to do the payroll deductions for fees Top Guard pays in advance for them.
  • Enter their compliance information into our software program.
  • Track all their licenses, DCJS, Driver’s License, CPR/AED, etc. to ensure they are in compliance at all times.
  • Set up officers for their training classes.
  • Create their folder on our server to keep all their compliance information electronically, such as applications, training completion forms, DCJS Hard Cards, Driver’s License, etc.
  • Taking appropriate action when we get notification of their security license application being denied and letting their account manager know we cannot work them any longer.
  • Completing payroll deduction forms for all training that Top Guard paid for in advance for the new hire and putting in the deduction in their electronic employee file in our software program.
  • Review termination emails that are sent out by account managers, review the persons file created on the server to see if there are any incentives, DCJS fees, training fees, etc. that is owed to Top Guard and make sure the deduction is put in for said fees.
  • Effectively use customer service skills to interact with other staff members, admin and field employees, within the company.
  • Maintain strict confidentiality of all company, and client information and data.
  • Perform other duties as assigned.
