DSI is hiring a Bid and Proposal Administrative Assistant. The Bid and Proposal Administrative Assistant will support the preparation, coordination, and submission of bid proposals for security service contracts. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks under tight deadlines. The ideal candidate will thrive in a fast-paced environment and contribute to the success of our business development efforts.
Responsibilities
- Assist in preparing, formatting, and editing bid proposals, ensuring compliance with client requirements and company standards.
- Compile and organize supporting documentation, including certifications, references, and pricing schedules.
- Coordinate with internal teams (e.g., operations, finance, and legal) to gather necessary information for proposals.
- Track bid deadlines and ensure timely submission of proposals.
- Maintain accurate records of bid submissions, outcomes, and client communications.
- Conduct research on potential clients and industry trends to support proposal development.
- Manage electronic and physical filing systems for bid-related documents.
- Provide general administrative support to the business development team, including scheduling meetings and preparing reports.
Qualifications
- High school diploma or equivalent; associate’s or bachelor’s degree in business administration, communications, or a related field preferred.
- 1-2 years of administrative experience, preferably in a business development or proposal coordination role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills with the ability to prioritize tasks.
- Detail-oriented with a focus on accuracy and quality.
- Ability to work independently and collaboratively in a team environment.
- Experience with bid management software or CRM systems is a plus.
- Knowledge of the security services industry is an advantage but not required.
