TITLE: Compliance Assistant

REPORTS TO: Director of Compliance and Training

COMPENSATION:

  • Rate of Pay: $17.00/hr.

SCHEDULE:

1st Shift Monday – Friday (8:30 AM – 5:00 PM; w/ unpaid 30-minute lunch break)

40+ hours/week (Full-Time)

This is a full-time in-office position. There is no hybrid or work-from-home option for this position.

SCOPE: This position works out of our Grand Rapids corporate office and is responsible for assisting the Director of Compliance & Training to maintain company-wide contract compliance, contract writing, fleet vehicle management, training, and learning management administration.  The Compliance Assistant will assist in ensuring requirements in all of these areas are met or exceeded at all times and will strive for continually improving the position of the company within these areas.  This position will mitigate potential liability resulting from inadequate or undocumented training and lack of compliance with contracts.  The Compliance Assistant is responsible for supporting the Compliance & Training Department and contributing to the company-wide improvement initiatives and overall vision and goals of the Company. 

JOB DESCRIPTION/RESPONSIBILITIES:

Compliance

  • Assist with and maintaining a reliable, thorough, and accurate system to be used for contract compliance throughout the company.
  • Notify the Director of Compliance & Training regarding any alleged instances of company non-compliance.
  • Audit sites across the company to ensure they comply with all portions of the respective contract.
  • File any compliance-related documentation (e.g. contract documentation, COVID-19 vaccine cards, etc.) either electronically or physically, as needed.
  • Enter compliance tracking codes into the compliance system for new and existing client locations, as needed.
  • Enter officially removed employees in the scheduling lock-out system to prevent inadvertent scheduling.
  • Assist, as needed, in filing Lunch Break Report documentation.
  • Assist the Director of Compliance & Training, as needed, to ensure business needs are met.

Training

  • Under the direction of the Director of Compliance & Training, provide assistance in developing and implementing training programs and content for corporate-level and field-officer level positions.
  • Assist in identifying and researching cost effective options for on-going personnel development.
  • Developing content for training materials, as needed.
  • Assist in management of the company’s online learning management system (LMS).
  • Conduct regular job code audits to ensure the LMS and compliance system are communicating appropriately.
  • Be available over phone or email to assist corporate and field personnel with any LMS technological questions (e.g. Password resets, updating employee information, manually assigning trainings, etc.).
  • Monitor and respond to emails or phone calls for the Compliance Department according to department SOPs and protocol.
  • Input records of completed training documentation in the compliance system.
  • Organize and file any submitted documentation either electronically or physically, as needed.
  • Assist the Director of Compliance & Training, as needed, to ensure business needs are met.

Fleet Vehicle Management

  • File maintenance records and any other documentation either electronically or physically for all company fleet vehicles.
  • Conduct monthly audits of company fuel card purchases.
  • Coordinate or transport fleet vehicles to be taken in for maintenance or any repair needs.
  • Monitor, audit, and troubleshoot the fleet vehicle GPS system according to department SOPs and protocol.
  • Assist with the physical installation or removal of vehicle GPS equipment.
  • Assist with conducting motor vehicle record checks and enter the information into the compliance system.
  • Assist the Director of Compliance & Training, as needed, to ensure business needs are met.

QUALIFICATIONS:

  • Must be at least 18 years of age or older, have a high school diploma or GED.
  • Possessing an associate degree or greater in a field related to Business Administrations, Environmental Health & Safety, Human Resources, or Law from an accredited college or University is strongly preferred. Further, a concentration in Security Management or Professional Development is preferred.
  • Must be of good moral character and have the ability to pass a criminal background check, with no felony convictions, and no misdemeanor convictions for criminal sexual conduct or related offenses, theft, assault, illegal substances, multiple alcohol related offenses, or crimes of moral turpitude, is required.
  • Must be able to successfully pass a drug test at the time of hire and randomly thereafter.
  • Must have strong technical, persuasive, and creative writing skills and be able to strategically emphasis company strengths in proposals. Experience in writing proposals and contracts is strongly desired.
  • Must have above-average organizational skills and acute attention to detail.
  • Must present a friendly, positive, professional image to clients, employees, supervisors, managers, and the general public.
  • Must possess high-quality verbal, written and interpersonal communication skills, ability to solve problems and de-escalate situations in a non-confrontational manner. These include the ability to read and write the English language and interpret documents such as safety rules, operating procedures, maintenance instructions and reports.
  • Must have the ability to multi-task.
  • Must be able to work independently, with little or no supervision.
  • Must possess the ability to perform basic mathematical calculations such as addition, subtraction, multiplication, and division, at a minimum.
  • Must possess excellent computer skills, specifically in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Experience with Adobe Captivate is highly preferred but is not a requirement.
  • Experience with Learning Management Systems (LMS) is highly preferred but is not a requirement.
  • Must have reliable transportation and be willing to travel to various locations.
  • Must have a clean driving record with less than 3 moving violations in the last 3 years, less than 2 at-fault accidents in the last 3 years, and no other major violations in the last 3 years.
  • Physical Requirements:
    1. Must be physically and mentally sound.
    2. Must be able to use hands and fingers to handle or feel objects, tools, or controls.
    3. Must be able to reach with hands and arms, and to hold objects.
    4. Must be able to sit, stand or walk for 8–12-hour shifts, including walking long distances, and up and down stairs.
    5. Must be readily able to respond to emergency situations.
    6. Must be able to work in or outdoors during all seasons.
    7. Must be able to hear conversations (in person or via 2-way radio) in noisy environments.
    8. Must be able to occasionally lift up to 50 pounds.
