Job Skills / Requirements

GENERAL STATEMENT OF JOB
 
Under general supervision, answers incoming telephone calls and internal communication for the Collection and Distribution complex.  Performs various administrative duties for Collection and Distribution such as preparing, receiving, and filing work orders; communicating with utility locating service; maintaining inventory of supplies, forms, and materials; etc.  Exercises judgment in applying established policies, procedures, rules and regulations.  Reports to the C&D Systems Manager.
 
 
 
                                     SPECIFIC DUTIES AND RESPONSIBILITIES
 
1.      Inputs all compliance data and ensures that the records are up to date.
 
2.      Inputs training records for all C&D personnel.
 
3.      Utilizes work order system and issues work orders as needed to the appropriate responsible person and assists when needed.
 
4.      Communicates with the Utility locating service for location requests as a backup for the Planning Assistant.  
 
5.      Responds and relays emergency information (i.e. line breaks, service disruptions) concerning the collection and distribution systems.
 
6.      Verifies time and attendance for all C&D personnel.
 
7.      Orders supplies (i.e. office and related) for the C&D Department.
 
8.      Prepares the on-call roster for the C&D Department.
 
9.      Performs administrative duties as needed including greeting and directing visitors and customers, making and filing copies as required, taking minutes for department meetings, and distributing memos.
 
10.  Ensures that all employees are communicated to concerning companywide communications. This includes communications to those that may not have ready access to e-mail.
 
11.  Answers and directs calls to appropriate C&D personnel when needed.
 
12.  Coordinates outside services to the C&D Department buildings when required.
 
13.  Maintains department bulletin boards, ensuring materials posted are up to date.
 
14.  Performs other related duties as required.
 
 
 
                                     MINIMUM TRAINING AND EXPERIENCE
 
 
Requires a high school diploma or equivalent with experience in administrative work; or any equivalent combination of education and experience that provides the required knowledge, skills, and abilities; Must have strong data entry skills; must have experience in Microsoft Word and Excel.
