Job Skills / Requirements
Actively assist the Dean of the College, the Associate Dean of the College, the Assistant Dean & Director of Student Academic Support, the Director of First-Year Academic Programming, Director of Lincoln Scholars & Office of Fellowships, and the Executive Administrative Assistant to the Dean in a variety of projects, office duties, and engagement with the public.
Essential Job Functions:
- Coordinate duties with the needs of the Dean’s Office staff.
- Administer the logistics of employment searches by the Dean’s Office. In collaboration with the Dean of the College update and distribute the current Faculty Recruitment Guide to search chairs and search committee members. Work closely with search chairs, place ads once approved by the Dean in professional journals and websites, manage and process all applicant materials in Interfolio, help users with the application system, and work with Search Chairs to schedule candidate visits. Make travel and lodging arrangements, schedule meetings with administrators, and process reimbursements. Request required status updates from Search Chairs. Ensure that all committee members sign their confidentiality agreement and help the Office of Diversity and Inclusion schedule implicit bias and Diversity Advocate training.
- Assist the Associate Dean of the College in scheduling and distributing student course evaluations.
- Prepare documents and provide project support to the Dean’s Office staff.
- Assist with preparations for special events, including Opening Convocation and Founders Day. Prepare the program and scripts for Dean’s Office participants in such events.
- Plan and coordinate details of the Honors Convocation. Solicit and prepare the program to include lists of student honorees, including the Dean’s List, recipients of Fulbright and other post-graduate honors, new members of the honorary and Leadership Societies, students who have done collaborative research or an internship, the junior marshals, and other award winners. Prepare awards for the Dean to sign, obtain prizes that are not checks, including having names engraved on certain prizes. Confirm check amounts for monetary prizes and obtain these from Finance Office. Prepare scripts, including soliciting the pronunciation of names when needed.
- Prepare and distribute certificates for students on the Dean’s list at the end of Fall Term and Spring Term.
- Assist the Dean’s Office staff in communicating with students on many issues, as needed, including those involving academic dishonesty, and other curricular matters.
- Assists with the management of the budget for the Associate Dean of the College.
- Help the Associate Dean manage CentreTerm Fieldtrips, including budgeting, and working with faculty on logistics of payments and reimbursements, and student drivers.
- Processes check requests and purchase requisitions for FDC student travel, faculty mentors, faculty travel, and endowed professorships.
- Suggest improvements to existing systems, practices, and policies.
- Appreciation of and experience working with a diverse academic environment, inclusive of students, faculty, and staff of many social, economic, cultural, ideological, racial, and ethnic backgrounds.
- Assist Director of Lincoln Scholars and Office of Fellowships with meeting arrangements, check requests, credit card reconciliation, electronic filing, Fellowship reception event planning and other duties as needed.

Education and Experience
High School diploma required.
Prior Administrative Assistant experience required.
Knowledge and Skills
Secretarial: MS Office, proficient typing skills.
Excellent spelling and grammar usage necessary.
Organization: Self-directed with efficient time management and skills ability to deal effectively with multiple projects.
Interpersonal: Positive, kind, and professional demeanor. Enjoys working with various constituents of the College, vendors, and those outside Centre’s community. Patient, kind, and calm when dealing with anxious constituents.
Physical Requirements:
Limited pushing, pulling, lifting. Lifting would not exceed 20 lbs.
Mobility on campus necessary.
